The Role
We’re now looking for a Controller / Senior Bookkeeper who will bring calm, clarity, and structure to our financial systems — someone who can see the story behind the numbers, spot patterns early, and build scalable processes that support our next chapter of growth.

What You’ll Do
You’ll take full ownership of the financial backbone across six dynamic companies:
- Lead and manage QuickBooks Online for multiple entities, ensuring accurate, timely, and organized financial data.
- Build and optimize financial systems — standardize processes, document SOPs, and ensure every transaction has a home.
- Reconcile, review, and report — handle monthly closes, intercompany transactions, and management-level reporting.
- Oversee accounts payable and receivable — from Bill.com automation to vendor and customer communications in English and Spanish.
- Own sales tax and compliance — manage multi-state filings and coordinate with Avalara and other tax platforms.
- Support the duty drawback process and other import/export documentation.
- Collaborate with company integrators and leadership to forecast, plan, and identify financial trends or risks before they become issues.
- Partner with CPAs, attorneys, and advisors to ensure accuracy, accountability, and strategic alignment across entities.
You won’t just “do the books.” You’ll be the financial conscience of the organization — the one who ensures we’re making decisions on solid ground.
What Success Looks Like
By Month 3–6, you’ve:
- Fully taken ownership of QuickBooks across all entities.
- Established a repeatable monthly close process with clean, reconciled financials.
- Identified and corrected any missing links in our systems.
- Built clear SOPs that others can follow and trust.
- Become the person leadership turns to for reliable data, insight, and calm financial confidence.
Who You Are
You’re more than a numbers person — you’re a builder, leader, and problem-solver who thrives in multi-entity environments.
You have:
- 5+ years of bookkeeping or controller experience managing multiple U.S.-based entities.
- Expert-level proficiency in QuickBooks Online and strong command of AR/AP, intercompany reconciliations, and month-end close.
- Experience with Bill.com, Avalara, ADP, SAP, Shopify, and Fishbowl (or willingness to learn quickly).
- Fluency in English and Spanish (ideally), both written and spoken.
- A passion for process improvement and creating order out of complexity.
- A high sense of ownership, integrity, and follow-through.
- The ability to work closely with leaders while maintaining confidentiality and independence.

Work can be based in our Ventura, CA office or remote for the right person. The role begins part-time (approx. 20 hours/week) with potential to grow as the company scales.
